Using TimeTec’s Work Code Function for Financial Benefits

Determining clocking in and out time is the basic function of any workforce management system, keeping track of the staff’s attendance and in-out transactions of the company. TimeTec takes things up a notch with a function designed to identify the purpose of each transaction and define job perimeters and activities of each staff member.

The Work Code function uses codes and remarks to describe attendance discrepancies and abnormalities. These remarks can be used to identify the causes and reasons for tardiness, breaks, off-site jobs, and leaves.

9 to 5 maybe the most common working schedule out there, but even companies that mainly adhere to that rule can have employees that require off-site presence such as those in sales and technical department that have to meet up with clients or business associates during the normal working hours. Such cases would necessitate the ability to specify and determine the purpose of the in-out transactions from the office.

With the Work Code function employers can monitor the performances of each staff member depending on their tasks as well as determine their whereabouts at specific timeframes.

Example of work codes and remarks:
Work Code Remarks
21 Traffic Jam
22 Vehicular Breakdown
23 Onsite Support
24 Attend Exhibition
25 Meeting Client

Aside from providing more information on your staff’s activities, using Work Code can also be economical. TimeTec allows the use of Work Code to enable job costing, a process that can determine the exact cost to a specific service or product. This will benefit companies that offer goods and services that are customized and not mass-produced. Financial services and design companies are some examples of companies that would benefit from job costing as the cost of each job depends on individual client’s needs, which can make calculating service charges to the customers and wages for employees a bit of a hassle.

Work Code can help prevent headaches from calculating work time by letting employers record the start and end time of every job done by employees. These details can be viewed at the Attendance Sheet in TimeTec and will make calculating work time and overtime individually that much easier. With Work Code and job costing, companies no longer have to worry about overcharging services or underpaying employees and vice versa.

Managing time and attendance in your company will be more efficient with the Work Code function as it can provide explanations to an employee’s absence at the office or tardiness. Employees can easily enter the Work Codes at the clocking device itself and the details will appear in the Attendance Sheet for viewing.
