TimeTec Mobile Strategically Handles Workforce Mobility and Application of Different Employee Pay Rates Effectively
 
The rise of the mobile workforce is amplified in the world we live in today. There are at least three categories of mobile workers identified which include constantly-mobile workers, occasionally-mobile workers and hybrid-mobile workers. The constantly mobile workers are the ones whose job is to move or deliver cargos from one point to another like logistic drivers or requires them to move from one place to another like utility men and door-to-door service technicians. Next, the occasionally-mobile workers are the ones who travel in between locations but only starts work when they reach their destination. The last one is the hybrid-mobile worker who works along the way, even when they arrive at the destination. No matter what kind of mobile workers you have, it is imperative to have a system that can track their whereabouts to provide the company with a view of the entire process and operation.
 
TimeTec Cloud comes with a mobile application labelled as TimeTec Mobile, available for iOS, Android and Blackberry. What TimeTec Mobile does is the app captures the date, time and location of employee’s smartphone using a GPS locator whenever he or she signs in/out for attendance. The data then will be transferred onto the TimeTec Cloud software to be processed as attendance records.
 
Besides handling the basic attendance check-in and check-out through mobile gadgets, TimeTec Mobile is also a useful tool for those who require a Job Costing feature. Job Costing is a powerful tool to manage employees who are assigned with different duties with different pay. For example, nurses at hospitals involved in major operations are reimbursed differently compared to nurses who do normal rounds on patients as these jobs are time-specific, flexible in schedule, nonpermanent and companies pay different rates according to work types. Another example is transportations where the delivery of normal goods are priced differently compared to the delivery prices of important cargo.

TimeTec Cloud is designed to cater to Job Cost feature, which provides a company with data about the job type and the duration it takes to complete the job for accurate assessment and pay calculation. Coupling the solution with TimeTec Mobile, the system provides information on various working locations and the different work processes.

Let’s take this following case as an example. A person working as a supermarket stock count employee has been assigned for the next couple of weeks to handle the promotion of new cosmetics line at a certain counter with a different pay rate, once that is complete, he’ll be back to handling stock-taking at a different and slightly lower pay. Let’s see how TimeTec Cloud and TimeTec Mobile handles this situation.

 
First the administrator needs to set up the flexi working schedule without a prefixed first in and last log-out time for the schedule in TimeTec Cloud, but the work days and the rest days must be defined properly.
 
Next, the Job Cost feature needs to be activated and schedule created in group duty roster.
 
Select the dates applicable
 
Each work type has to be represented by a number.
 
Once this is done, select the employees who will be using the predefined work type.
 
Select the employees and define the stating date of when to apply the new rules. System will re-calculate attendance according to the new rules.
 
Settings in TimeTec Mobile also needs to be configured to use this feature. Once you have logged-in to TimeTec Mobile, enable work code in settings.
 
Report attendance and the system will request you to select the Work Code for your current task. Press “Confirm” to complete the process and your attendance is successfully reported.
 
The record will be reflected in Attendance Sheet in TimeTec Cloud.
 
 
With the Job Code labelling, it is clear that the employee began his Stock Counting job at 5:37pm and when he’s done, he will need to report attendance from the mobile app by selecting the same work code which the system will treat as his Out time.

Utilizing TimeTec Cloud and TimeTec Mobile simultaneously to produce useful data such as mobility tracking and job cost provides managers and human resource department better tools to handle jobs with different locations, different types and different pay effectively. Early planning can be scheduled to optimize the use of resources to benefit the company.
