Clocking Schedules

What is the clocking schedule? Clocking schedules are an important configuration used to calculate the users’ attendance. The setting of the clocking schedule will directly influence the outcome of the time attendance and its equivalent reports. Upon setting up the clocking schedule, it can proficiently track and scrutinize employees’ attendance including tardiness, missed punches, overtime and etc. However, you will need to create the group duty roster once you setup the clocking schedule. The group duty roster acts as a module with flexible pattern scheduling to minimize data entry and eliminate the need to manually create schedules for the whole year.

Different clocking schedules can be created to support users with different workingtimes or working rules. The software provides a maximum of 1,000 clocking schedule for definition and 3 types of clocking schedules to configure:

 
Type 1- Weekly Schedule
A weekly schedule can have customized and defined working hours which is fixed on a weekly basis. It’s the most common working schedule in most industries.
 
Type 2- Flexi Schedule
Flexi schedules are simple, and defined by the number of hours clocked in during each day, irrelevant of time and tardiness. If your company doesn’t have a flexible working hour policy, you can ignore this type of schedule.
 
Type 3 – Daily Schedule
Daily schedules are defined with more details on a daily basis, with specific working cycle patterns, and is used mainly to coordinate shift work such as in factories, hospitals, and so on. Daily schedules are more complicated to set up, and we advice that you work closely with your FingerTec reseller on this.
The Technical Support team of FingerTec frequently come across many inquiries regarding clocking schedules as most lack the confidence and understanding to define them. Below are a few examples of the said inquiries:
1. Request for open schedule with overlap schedule.
For example: schedule 1 is 08:00 to 17:00, schedule 2 is 09:00 to 18:00 and schedule 3 = 10:00 to 19:00.
There are two types of open schedule, the open schedule for day shift and the open schedule for over night shift. The open schedule automatically assigns users to their respective schedules according to the users’ IN time. If the open schedule’s IN time is too near, the software will be confused and is unable to assign to users accordingly. (Open schedule day shift, Open schedule overnight shift)
 
2. Request for the open schedule to work with multiple schedules for a user in a day.
The open schedule only supports one schedule per user in a day.
 
3. Request to calculate the differential overtime before overtime.
For example: The user’s working schedule is 08:00 to 17:00. If the user comes in early at 06:00, the management wants 06:00 to 07:59 to appear as differential overtime.
The TCMS V2 time attendance management software does not support early-IN overtime as differential overtime.
 
4. Request to deduct late-in minutes based on the tolerance.
For example: The IN time is 09:00 and it is configured with 10 minutes of tolerance for late in. If user comes IN at 09:15, the management wants the software to calculate the short time as 5 minutes.
Currently, the TCMS V2 time attendance management software will only show 15 minutes as short time.
 
5. Request for the TCMSv2 time attendance management software to calculate more than 24 hour working time in a working day.
The TCMS V2 time attendance management software can only calculate up to a maximum 24 hours of working time. If the working time exceeds 24 hours, the attendance sheet will have errors.
 
Below are some of the other constructive inquires that we have taken into consideration and customized into the TCMS V2 time attendance management software:
1. Request a clocking schedule to calculate two or more breaks per day.
For example: morning break, lunch break, teatime, and dinner break.
Use multiple shifts working roster or Job Cost option. ( Multiple shifts working roster, Job Cost option)
 
2. Request for a flexible lunch time or dinner time.
For example: In a working environment where all employees are not allowed to go for lunch or dinner at the same time.
Use Flexi Lunch/Dinner option. ( Flexi Lunch/Dinner option )
 
3. Request for users using flexi schedule to show late in and early out.
In the latest version of TCMSv2.2.021 time attendance management software, we have added the clocking time in the flexi schedule to enable the tardiness function.
